Privacy and terms

The short version: FloGent keeps your company's hours, projects and tasks in its cloud. Your project files stay on your own PCs and in your own cloud storage.

Who we are

FloGent is a South African software service. We process personal information under the Protection of Personal Information Act, 2013 (POPIA). Our Information Officer handles privacy questions and requests: email flo@flogent.app.

For your own staff's information, your company is the responsible party and FloGent is the operator that processes it on your company's behalf.

What FloGent stores

  • Account details: company name, each person's name, email address and sign-in details.
  • Projects: project names and numbers, clients and non-billable bookings that your company sets up.
  • Hours: booked time per person, per project, per day, with a short description of the work.
  • Tasks: the tasks, due dates and planned hours in TaskPlanner.
  • Computer names and which folders each computer syncs, so FloDrive can connect your PCs.

What stays on your own PCs

  • Your project files. FloSync copies them directly between your computers and your own OneDrive or Google Drive. They never pass through FloGent's servers.
  • The activity FloGent records to build timesheets (which programs and files were open). It is kept on the person's own PC for a few days and then deleted. Only the booked hours go to the cloud.

Why we use it

Only to run the service for your company: building timesheets, showing reports to the people your company allows, planning tasks and syncing files. We don't sell personal information and we don't use it for advertising.

Who can see it

People in your company see what your company's owner allows. FloGent staff look at your data only when you ask for help, or when needed to keep the service running.

We use a small number of service providers who process data for us under written agreements: a cloud database provider for accounts, projects, hours and tasks, and a South African web host for this website. The cloud database may store data outside South Africa. Where it does, we only use providers bound by data protection rules at least as strong as POPIA, as section 72 of POPIA requires.

Employees and monitoring

FloGent records work activity to fill in timesheets. Your company is responsible for telling its staff that FloGent is used and why, as POPIA requires for employee information. Each person can see and correct their own timesheet.

Keeping it safe

Data is encrypted on its way to and from FloGent. Each company's data is kept separate, and people only see their own company. Sign-ins are protected by password, and we limit which FloGent staff can reach the database.

This website

This website sets no tracking or advertising cookies. It loads its fonts from Google Fonts, so your browser connects to Google when a page opens. The sign-up form sends what you type only to FloGent.

Your rights

You can ask to see the personal information we hold about you, have it corrected, or have it deleted. You may also complain to the Information Regulator of South Africa. To make a request, email flo@flogent.app.

Keeping and deleting data

We keep your company's data while the account is open. If the owner closes the account, we delete it within 90 days, after giving the owner a chance to export hours.

Terms of use

  • FloGent is free while in early access. We give the account owner at least 30 days' notice by email before any charge.
  • The company that signs up owns its data, and is responsible for who it invites and what they do in FloGent.
  • Early access software can change. We work to keep it reliable, but keep your own backups of important files.
  • Don't use FloGent for anything unlawful, and don't try to reach another company's data.
  • We may update these terms. If a change matters, we'll email the account owner first.
